Privacy Policy for OmniPing
How we collect, use, and safeguard clinic and patient data across our clinic management portal.

OmniPing ("we," "our," or "us") is committed to protecting the privacy of the clinics we serve and the patients they manage. This Privacy Policy outlines how we collect, use, and safeguard information through our clinic management portal (the "Service").
To provide our management services, we collect specific information from both our clinic clients and the patients they serve:
Patient Information
Clinic staff enter patient data into our portal to manage check-ins, discharges, and follow-ups. This includes patient full names, WhatsApp numbers, age, gender, location, and clinical complaints.
Clinic Data
We collect information necessary to manage the clinic's account, including administrative details, Hospital PINs used for access control, billing information, and specific WhatsApp Business API identifiers such as the WhatsApp Business Account ID (WABA ID) and Phone Number ID.
OmniPing integrates with the WhatsApp Business API provided by Meta Platforms, Inc. To facilitate our messaging services—including appointment reminders, visit updates, and marketing communications—we share necessary data (such as recipient phone numbers and message content) with Meta Platforms, Inc. This data sharing is strictly limited to facilitating the requested communication. All messaging services provided through our platform are handled in accordance with Meta's Business Messaging Terms and their relevant data protection policies.
We utilize the collected data strictly for the purposes of operating our Service:
- Service Delivery: Enabling clinics to manage patient workflows, scheduling, and clinical history.
- Operational Analytics: Generating dashboard metrics, traffic reports, and demographic insights to help clinics understand their performance.
- Billing and Subscription: Processing credit ledgers, managing subscription plans, and ensuring platform access based on account status.
OmniPing does not sell, rent, or lease patient or clinic data to any third parties for marketing or any other commercial purpose.
Clinic owners and their authorized staff have the right to access, review, and correct their account information.
Procedure for Data Deletion
If a clinic owner or a patient wishes to request the permanent deletion of their data from OmniPing systems, they must submit a formal request via email.

Please include "Data Deletion Request" in the subject line, along with the Clinic Name and the specific Client ID or phone number associated with the data.
Process
Upon verification of the request, OmniPing will permanently remove the associated data from our active databases and records within 30 business days, provided that such removal does not conflict with legal or regulatory obligations to retain certain business records.
OmniPing is dedicated to protecting your data through rigorous security practices.
- Encryption: All data transmitted between our portal and our servers is protected by industry-standard HTTPS encryption. We also employ encryption for sensitive data stored at rest.
- Access Control: Access to administrative portals is restricted via secure, PIN-based authentication. We implement role-based access controls to ensure that only authorized personnel can view patient records or billing ledgers.
OmniPing operates with a professional commitment to trust and reliability. We recognize our role as a healthcare-adjacent B2B service and strictly adhere to data privacy principles that prioritize the confidentiality of patient information and the security of clinic business operations. We regularly review our security measures and policy frameworks to maintain alignment with evolving privacy standards.
We may update this Privacy Policy to reflect changes in our service or legal requirements. When we update this policy, we will revise the "Effective Date" at the top of this document. Continued use of the OmniPing Service constitutes your acceptance of the updated policy.
